The core decision is whether a provider can operate your environment through a defined model with clear ownership, standards, and accountability. Without that structure, support tends to remain reactive and risk accumulates quietly over time.
At board level, the right question is not "Who can fix issues fastest?" It is "Who can reduce operational risk while improving service reliability through disciplined management?"
Board-level checklist
A) Operating model and accountability
- Is there a clearly documented operating model for delivery?
- Are service responsibilities explicitly defined between provider and client?
- Is there named senior ownership for service outcomes?
- Are onboarding standards documented before ongoing support starts?
- Does the provider define expected system baselines and service standards?
- Is there a structured cadence for operational review and improvement?
B) Security and risk management
- Is MFA enforced consistently across user and admin accounts?
- Are identity and access controls defined and reviewed regularly?
- Is endpoint patching managed to a documented standard?
- Are backup and recovery checks treated as routine operational controls?
- Is security posture reported in a way leadership can understand?
- Are high-risk issues tracked with clear ownership and timescales?
C) Service scope and boundaries
- Is service scope clearly documented, including exclusions?
- Are day-to-day management and project work separated commercially?
- Are response and resolution commitments realistic and measurable?
- Are third-party dependencies and responsibilities made explicit?

- Is communication designed for both operational and leadership audiences?
- Are changes prioritised through agreed risk and business impact criteria?
- Is there a defined cadence for roadmap and lifecycle discussions?
- Is performance reporting practical rather than purely technical?
E) Commercial clarity
- Is pricing linked to defined scope and operational responsibility?
- Are there transparent terms around onboarding and baseline work?
- Are project fees and operational fees clearly separated?
- Is the contract structure clear on notice periods and review points?
- Are assumptions and dependencies explicitly stated in commercial terms?
- Are service changes governed by a clear change-control process?
Red flags when evaluating an MSP
- Vague statements about "fully managed" service without defined scope
- Security claims without documented controls or reporting standards
- Reliance on ticket metrics with no operating model or review cadence
- No clear distinction between operational support and project delivery
- Limited documentation ownership or heavy dependence on individual engineers
- Commercial terms that obscure exclusions, assumptions, or escalation costs
What good looks like in the first 30–90 days
- Structured onboarding with documented baseline and ownership model
- Initial risk review with prioritised actions and realistic timelines
- Security control baseline applied across identity, devices, and key services
- Backup and recovery posture validated and monitored
- Service cadence established with regular reviews and tracked actions
- Clear roadmap for stabilisation, security improvements, and lifecycle planning
